Job Posting: Royal City Musical Theatre – Executive Producer

The Royal City Musical Theatre Society is currently looking to fill the role of Executive Producer. Reporting directly to the Board of Directors, our Executive Producer has the responsibility for the overall management of the production, marketing and company administration.

In collaboration with our Artistic Director, the Executive Producer assembles and provides leadership to the Production Team {overseen by the Director and the Technical Director}, as well as serves as the liaison with local theatres used for rehearsals/performances, and oversees both the contracted Marketing Company (Bridge Communications) and Administrative Assistant personnel.

Responsibilities

  • Develop, maintain and manage the production schedule. Organize and manage audition process. – Budget: In coordination with the Director, Treasurer, and Board, create a production budget; manage the budget through the production. Work with all departments to ensure budget is maintained. Produce and maintain purchase orders in concert with accounts payable schedule.
  • Provides Leadership to the Production team with regard to resolution of conflicts or differing views on the management of the Production.
  • Functions as a central point of communication for the production team. Facilitates regular production meetings with entire Production Team.
  • Liaise with rehearsal and performance venue representatives.
  • Contract Administration: Negotiate and produce all contracts (Production Team, Designers, performers) and work together with Bookkeeper / Treasurer on payment schedules that work with cash flow. Develop and execute all production related contracts for union and non-union artists and collaborators.
  • Collaborates with various committees of the RCMT Board, including but not limited to: Finance, Fundraising, Production and Marketing.
  • Serve as the primary liaison between RCMT and local theatres (Massey and Anvil) professional associations and unions, and production rights companies.
  • Attend monthly Board meetings; update the Board on production status.
  • Promotes cast and production morale at all times by providing a positive environment where all members of the production are treated respectfully.
  • Lead the annual production post mortem. Provide a written post production report and recommendations to the Board.
  • RCMT Office Management: Manage monthly administrative budget and office functions including phone calls, emails, direct mail, filing, preparing business documents, grant writing/reporting, maintaining all databases, and ordering any necessary supplies. Maintain a complete file documenting all communications and correspondence.
  • Work with the Board’s Executive Committee Chair to ensure all documents and tools related to Org Structure, Roles/Responsibilities, Meeting Agendas/Minutes, Fundraising Initiatives, Contact Lists (cast, members, volunteers), are updated and distributed as needed.
  • Provides ultimate oversight of the Marketing and Advertising Contract (publicity and advertising) and Leadership to the Marketing Committee.
  • Work with a volunteer digital marketing rep to oversee the website and social media feeds, and E-Blasts in order to maximize awareness of the company and production.

Qualifications & Experience  

  • Experience with theatre production and management.
  • Strong written and oral communications skills.
  • Ability to work in harmony with all production departments.
  • Proven track record for completing Theatre Production on time and on budget.

Hours of Work  

Hours of work will be scheduled as needed. Currently we mount one show per year that runs during the month of April. The bulk of the hours will be spent from September to May, with February to April having the heaviest workload.

Compensation  $15,000 per year

About the Organization

We produce only large-scale musical theatre shows with community-based casts of as many as sixty on the stage. Very few organizations outside of Broadway or London’s West End are able to mount such large productions.
